Our inspirational studios are in a recently refurbished mill in Harpenden, 26 minutes by train from London
St Pancras International Station, and within easy access of the M1 (J10) and M25 (J21).

Office Administrator

Part-time. Permanent. Studio-based. Expected hours circa 20 per week.

We’re looking for an organised and people-friendly Office Administrator to join our agency. If you have experience in managing day-to-day needs for an office, or ideally a creative studio, plus managing tenants and building maintenance, then this is a great role for you.

Key responsibilities:

As Office Administrator, you will have an important role in helping our agency and premises run smoothly. Reporting to our Client Services Director and Finance Director, key responsibilities include:

  • Provide full operational administrative support to the Directors and team as required
  • Maintain a safe, well-maintained, accessible, and inclusive office environment
  • Looking after tenants and any queries they may have
  • Respond to office space enquiries, including showing new prospects around the premises
  • Manage the office cleaners and service contract cost-effectively for our premises
  • Oversee office services including supplies, utilities, security, maintenance, fire alarms, cleaning, catering, and waste disposal
  • Ensure compliance with Health and Safety regulations and environmental best practices.
  • Manage the gardeners and make sure the car park and surrounding shrubs/lawns are maintained
  • Keep the premises website up-to-date
  • Manage fire safety equipment, alarm tests, and evacuation drills.
  • Liaise with ADT and Black & White regarding office alarm system and any activations
  • Order office supplies such as sugar, tea, coffee and milk plus printer inks, paper etc
  • Complete petty cash returns monthly
  • Diary management (meeting and media rooms) and travel arrangements
  • Overseeing quarterly socials including the Summer and Christmas events

Required skills and experience: 

  • Confident communicator and enjoy liaising with people
  • Not easily flustered and remaining professional, yet courteous, at all times
  • Experience in building management and maintenance is an advantage
  • Proficient in Office 365 and managing online diaries
  • Managing the petty cash and making sure appropriate receipts are kept
  • Understanding of building health and safety regulations
  • Managing fire alarm maintenance
  • First aid certification would be good

This is a part-time permanent position based at our studios in Harpenden with some flexible working that can be agreed if suitable. The role will be competitively remunerated based on experience and capabilities.
